FAMILIAR?

The guest sees one venue.
Your team is juggling the rest.

A reservation in the calendar. A question on WhatsApp. A function quote in someone’s inbox. A deposit that needs checking. Each handover is another thing your team has to remember.

Vertu brings these parts of the visit into a connected workspace. Start with the daily essentials, then add AI guest service, function sales and the connections your business needs.

WHY VENUES CHOOSE VERTU

Less patchwork.
More connected hospitality.

Eight ways to bring the work around your guests together.

01

CONNECTED CHECKOUT

One visit shouldn’t feel like several separate bookings.

A guest wants a tasting and lunch. Asking them to find two booking pages, repeat their details and work out what happens next adds friction before they even arrive.

IN PRACTICE

A day at your venue, joined up.

A guest selects a morning tasting and a lunch reservation in the same journey. Your team can see the bookings without piecing together separate enquiries.

TastingLunchOne guest journey

Bring your supported services into a booking experience on your own website. Guests can choose what you offer, and your team manages the resulting bookings in Vertu.

  • ✓Embed a booking widget in your existing website.
  • ✓Offer a single service, or combine supported services in one basket on eligible plans.
  • ✓Build configured packages around the experiences you sell together.

WHERE IT FITS

Essential and Autopilot include a core booking cart. Enterprise adds shared checkout across services, configured packages and cross-selling. Bespoke adds an agreed service setup.

Available combinations, payment and confirmation steps depend on your configured services.

02

AVAILABILITY & BOOKING RULES

Put your venue’s rules into the booking process.

A booking form can take a request. Your team still has to decide whether there is room, whether the time works and whether the guest has booked the right thing.

IN PRACTICE

Your Saturday service, with the details in place.

Set the capacity and booking cut-off for a sitting. For a ticketed event, your team can check tickets on arrival instead of finding names in a separate list.

AvailabilityCapacityGuest check-in

Set up availability, capacity and booking windows around the way your venue operates. Use calendars and floor plans to organise service, with ticketing for the events you sell online.

  • ✓Control when guests can book and how much capacity is offered.
  • ✓Manage reservations with calendars and floor plans.
  • ✓Sell event tickets and check guests in using QR codes.

WHERE IT FITS

Essential includes core booking tools and standard ticketing. Autopilot adds seating assistance. Enterprise adds advanced event tools, recurring events and ticket add-ons. Each plan covers one physical location.

Booking rules, event options and capacity limits are agreed for your setup.

03

VERTU TEAM · IPAD & ANDROID TABLETS

Your whole venue, in your team’s hands.

A guest asks about a tasting while you’re serving lunch. If your team has to leave the floor, find another booking book or ask the guest to call later, a useful conversation can end without a sale.

IN PRACTICE

“Would you like to join the tasting after lunch?”

Your team checks the configured tasting, chooses the guest’s preferred option and makes the booking from the tablet. If payment is required, they send a payment link while the guest is still with them.

ServeBookCross-sellUpsell

Dedicated iPad and Android tablet apps put Vertu where service happens. Your team works with the same booking records and availability as your website and dashboard, so they can help the guest in front of them.

  • ✓Take reservations and walk-ins while you’re with the guest.
  • ✓Manage the day’s bookings, seat or move guests and assign waiters.
  • ✓See guest notes, visit history and booking details before you act.
  • ✓Cross-sell a configured tasting, treatment or event; upsell with the booking and ticket options your venue offers.
  • ✓Send a secure payment link for a booking or deposit.
  • ✓Sell event tickets and scan their QR codes at the door.

04

BRANDED GUEST COMMUNICATION

Keep guests informed before they need to ask.

“Are we confirmed?” “What time should we arrive?” “How do I change my booking?” Small questions become a full-time job when the information is scattered.

IN PRACTICE

A useful reminder, in your venue’s voice.

Before a visit, a guest receives their booking details and an available link to manage the reservation. Your team spends less time repeating the same information.

ConfirmationsRemindersYour brand

Keep your venue’s identity on booking pages and guest messages. Send configured confirmations and reminders, with useful booking details and links that help guests take the next step.

  • ✓Give guests branded confirmations and booking information.
  • ✓Send configured reminders over supported channels, including email and WhatsApp.
  • ✓Use booking-management links and, on eligible plans, customise message templates.

WHERE IT FITS

Core branded communication is included from Essential. Custom message templates are available from Autopilot.

Delivery depends on contact details, channel setup, messaging credits and any provider approvals.

05

AI GUEST CONCIERGE

Turn routine questions into a useful next step.

Guests ask about availability while your team is serving the people already there. An unanswered question can become a booking somewhere else.

IN PRACTICE

“Do you have space for four on Saturday?”

The assistant checks availability for a configured service and helps the guest book. Requests outside the supported flow can go to a member of your team.

WebsiteWhatsAppStaff handoff

Give guests an AI assistant on your website and WhatsApp that can answer questions about your configured services, check availability and help with supported bookings. When a guest requests a person, Vertu pauses the assistant and alerts staff with the context and a link to the conversation.

  • ✓Answer routine questions using your venue’s information.
  • ✓Check availability and complete supported booking steps.
  • ✓Help with eligible booking changes, cancellations and secure payment links.
  • ✓Hand guest requests to staff with a reason, conversation link and paused automated replies.

WHERE IT FITS

Available from Autopilot, with setup and AI usage credits. Enterprise and Bespoke include the same available model choice.

Choose from the models available in the platform on every AI-enabled plan. Usage rates vary by model; booking actions follow your configured rules.

AI SERVICE. A PERSON WHEN IT MATTERS.

Keep every guest
in the conversation.

A guest cannot get through on the phone. They ask your assistant for a person. Your team needs the request, the context and a clear way to reply.

Vertu pauses the assistant and sends staff an email alert with the reason for the handoff and a link to the conversation. Your team can pick up where the guest left off.

  1. 01
The context comes with the request.

The alert includes who needs help and the recorded reason, so your team has a useful starting point.

  2. 02
    The conversation stays together.

Open the linked thread to review what was said and reply to the guest.

  3. 03
    The assistant steps back.

Automated replies pause after the guest requests a person, giving your team room to take over.

Still waiting? Pulse brings it into view.

Qualifying guest handoffs appear in the attention queue after 30 minutes without a queued staff reply.

Explore the Pulse example ↗

From Autopilot: AI concierge with staff handoff. The operational Pulse queue is included from Essential. Staff email addresses and notification delivery are required for email alerts.

06

PAYMENTS & FUNCTION SALES

Keep the enquiry, quote and deposit connected.

A function enquiry arrives in one inbox, the quote is sent from another tool and somebody has to check whether the deposit came through. The handovers are where details get lost.

IN PRACTICE

A celebration moves from “interested” to booked.

Your team prepares an itemised quote from an enquiry. The guest accepts and follows the configured deposit step, with the function’s progress kept together.

EnquiryQuoteDepositBooking

Track enquiries in Vertu and take supported card payments and basic deposits. For functions, eligible plans connect itemised quotes, guest acceptance, deposits and booking conversion in one workflow.

  • ✓Keep incoming enquiries and their progress visible to your team.
  • ✓Collect supported card payments and booking deposits.
  • ✓Move eligible function enquiries through quoting and acceptance into a booking.

WHERE IT FITS

Essential includes enquiry tracking, card payments and basic deposits. Autopilot adds deposit rules and due-date handling. Enterprise adds function quotes, acceptance and supported booking conversion.

Payment-provider setup, transaction fees and the requirements of each booking flow apply.

07

SUPPORTED SYSTEM CONNECTIONS

Keep useful systems. Connect the work around them.

Your venue may already depend on a property system, spa software, a till and accounting. Re-entering the same details takes time; replacing everything at once may not make sense.

IN PRACTICE

Start with the connection that removes a handover.

During setup, we confirm your provider, the supported data and the direction it moves. Your team knows what connects and which tasks still belong in the original system.

CloudbedsChiDeskLightspeed KXero

Use the supported connection for the job you need it to do. Vertu has defined workflows for Cloudbeds rooms, ChiDesk spa services, Lightspeed K guest spend and seated check-in, and eligible Xero contact and invoice exports.

  • ✓Connect supported accommodation and spa workflows.
  • ✓Bring supported restaurant guest-spend and check-in information into the workflow.
  • ✓Export eligible contacts and invoices to Xero.

WHERE IT FITS

Supported integrations are available from Enterprise. Bespoke connections and implementation are agreed individually.

Each connector has a defined scope and requires setup. Provider accounts, API access and additional fees may apply.

08 / VERTU PULSE

Revenue is
the scoreboard.
See the work
still in play.

Last month’s revenue tells you what already happened. A guest still waiting for a reply tells you where a person can help today.

Pulse opens on the work that needs attention. The operational queue checks your records without AI, and links your team to the relevant work. A clear result and a check that could not be completed are shown differently.

SIX CHECKS. A CLEAR PLACE TO START.

Based on the records in Vertu
01

A guest waiting for a person

A requested staff handoff has waited over 30 minutes without a queued staff reply.

02

A conversation paused by AI credits

A guest conversation has been suspended because the AI credits needed to continue are unavailable.

03

A message that did not get through

A message failed within the last 72 hours and was not recovered through a successful fallback.

04

An enquiry with no owner

A new or in-progress enquiry has remained unassigned for more than 12 hours.

05

A quote still waiting

An enquiry has stayed in the quoted stage for more than five days.

06

A low-rated review to acknowledge

A native Vertu review rated three stars or below, received in the last 14 days, has not been acknowledged by your team.

GO DEEPER WITH ENTERPRISE

From today’s queue
to the week’s bigger picture.

01 / BUSINESS INSIGHTS

Read the week clearly.

Compare recent periods and explore service performance, open enquiries and checkout outcomes. Cash collected and booked value stay separate, because they describe different things.

02 / GUEST BRIEFINGS

Help your team prepare.

Request a staff briefing from a guest’s recorded history and preferences, so useful context is easier to find before the visit.

03 / WEEKLY BRIEFING

A written view of the week.

A weekly briefing helps your manager interpret available business facts, spot changes and choose where to focus.

AI briefings require the relevant access, setup and credits. Monday runs are scheduled from 06:05 SAST; arrival time can vary and quiet weeks can be skipped. Acknowledging a review in Pulse records your team’s action; it does not publish a reply to an external review platform.

A FEW USEFUL DETAILS

Clear answers.
Fewer surprises.

Does Vertu have apps for the team on the floor?+

Yes. Vertu Hospitality: Team Edition is available for iPad and compatible Android tablets. Your team can take reservations and walk-ins, manage floor operations, view guest details and send payment links. Supported service bookings and event ticket options let them cross-sell and upsell during service. A Vertu venue account, staff access and an internet connection are required; available tools follow your plan and configured services.

What does the monthly subscription cover?+

Your subscription covers the features and limits of your selected plan. Messaging, AI usage, payment processing and some provider connections can carry separate charges. All prices exclude VAT. Your proposal sets out the applicable usage fees and capacity limits before you commit.

Can we keep our existing website and systems?+

You can embed the Vertu booking widget in your existing website. On a plan with integrations, we confirm the exact supported workflow for each provider during setup. The available connections do not imply that every field or action synchronises in both directions.

Can the AI actually make and change bookings?+

The concierge can perform supported booking actions against your configured services and availability. Eligible changes and cancellations follow your booking rules. Your team remains involved in requests that need a person, and AI use requires credits.

Are different AI models restricted to different plans?+

You can choose from the available models on every plan that includes AI. Models have different usage rates, so the model you choose affects your AI usage cost.

Does Pulse stop working when AI credits run out?+

The operational action queue is checked against your records and does not use AI. It distinguishes a clear result from a check that could not be completed. AI guest and business briefings are separate features and require the relevant access, configuration and AI credits.

When does the weekly Pulse briefing arrive?+

The weekly run is scheduled to start on Monday at 06:05 South African time. Delivery depends on the configured recipients, available data, generation and email processing; this is a scheduled start, not a guaranteed inbox time. Weeks with no recorded activity may be skipped.

Can Vertu cover more than one location?+

Every plan covers one physical location, and Enterprise can connect several services at that location. More than one location is not part of any standard plan. If you run several, talk to us about a separate agreement. Separate business accounts keep separate guest records.

YOUR VENUE. YOUR NEXT CHAPTER.

Let’s bring
the pieces together.

Tell us how your guests book and where your team gets stuck. We’ll walk through the Vertu workflows that fit.
